Let's Talk, Lda, (LET'STALKGROUP) has a firm commitment to the privacy and rights of the owners of personal data, acting in accordance with the provisions of the General Regulation on Data Protection ("RGPD") and other applicable legislation.

We want you to know how LET'STALKGROUP treats your personal data, as well as your rights.

With this Policy, we intend to answer the following questions:

1. What data does the LET'STALKGROUP deal with, whom do they respect and how are they collected?
A personal data is any information relating to an identified or identifiable natural person. An identifiable natural person who can be identified, directly or indirectly, in particular by reference to an identifier, such as a name, an identification number, location data, identifiers by electronic means or one or more physical, genetic, mental, economic, cultural or social identity of that natural person.

LET'STALKGROUP can handle the following categories of personal data:
          a) Identification data (e.g., name, date of birth, sex, address, contacts, citizen card details, passport and taxpayer number, nationality);
          b) Data on education and work experience (eg education, qualifications, certifications, languages, curricula, information of the former employer);
          c) Professional data (e.g., position, function, job description, company, address, telephone and e-mail of the company);
          d) Professional activity data (e.g., business activities, information on proposals and submission of services, information on projects under development);
          e) Billing and expense data (e.g., fees, travel and communications expenses);
          f) Image and sound recording data (e.g., photographic and video images).

The persons to whom the data relate are the holders of personal data.
The above categories of personal data may belong to different categories of data subjects, such as customers, customers' collaborators, counterparties, service providers or candidates.

LET'STALKGROUP collects personal data through various means and at various times, in particular when you send us an email or respond to an invitation, when you deliver your personal card, when you subscribe to our information, enrollment in courses or events, when you make a professional application or when you hire our services.

In some cases, LET'STALKGROUP may indirectly collect personal data, including from public sources. When LET'STALKGROUP treats personal data that it has indirectly collected, it shall provide all information concerning the processing of such data to the respective holders at the earliest opportunity.

2. For what purposes and on what legal basis does LET'STALKGROUP treat personal data?
LET'STALKGROUP may treat personal data for the following purposes and with the following legal bases:

          a) To provide Consultancy, Training or Event Services, which may include:
          • Opening of client and dossier;
          • Registration of service proposals submitted;
          • Communications with the client, with other parties and / or public entities;
          • Communications resulting from meetings, telephone contacts with other parties and / or private or public entities;
          • File of documentation in digital support and / or in physical support.

          The legal basis in this case is the performance of the contract and the legitimate interest:
          • Interest in LET'STALKGROUP in the treatment of the information of its clients, in a sustained and efficient way, that assures its quality and integrity and allows the delivery of excellent services; and
          • Interest of LET'STALKGROUP customers in the execution of the projects agreed or in the process of being awarded.

          b) For Communications and Submission of Information (e.g., newsletters, briefings, invitations and other actions).

The legal basis is the legitimate interest:
          • Correspond to the requests of the subscribers of the LET'STALKGROUP forms and adjust their communication;
          • Strengthen the culture of LET'STALKGROUP and maintain a close relationship as its clients.

          c) For Management of Events or Courses, which includes:
          • Sending invitations / registrations for events or courses and registration of participants;
          • Internal and external dissemination of events or courses.

          The legal bases applicable are legitimate interest and consent (*):
          • Correspond to the requests of the subscribers of the LET'STALKGROUP forms and adjust their communication;
          • Disclose the events or courses promoted by LET'STALKGROUP.

          d) For the Protection of People and Goods, which includes the collection of images through a video surveillance circuit.

          The legal basis is the legitimate interest:
          • Ensure the protection of the premises of LET'STALKGROUP and its people.

          e) To fulfill legal compliance obligations.
          
The legal basis is compliance with a legal obligation.

          f) For Invoicing and Accounting Management, which includes:
          • Cost accounting, cost control and reimbursement (e.g., travel expenses and other costs to be borne by customers);
          • Invoicing and Management of current accounts;
          • Maintenance of accounting records and supporting documentation.

          The legal basis is the performance of the contract; legitimate interest; and compliance with legal obligation:
          • Maintaining efficient management control, timely invoicing of services and ensuring compliance with applicable legal obligations.

          g) For the Selection and Contracting of Consultants and Trainers, which includes the curriculum analysis, as well as the internal selection process according to identified needs.

          The legal bases are the pre-contractual diligence at the request of the data subject and the legitimate interest, with the interest of the LET'STALKGROUP in analyzing the most suitable professionals according to the ongoing consultancy or training projects.

          h) For Recruitment and Selection, which includes the analysis of applications and curricula, as well as the internal process of selecting employees according to identified needs.

          The legal bases are the pre-contractual diligence at the request of the data subject and the legitimate interest, with LET'STALKGROUP's interest in analyzing the applications and submitting the candidates to an internal selection process, according to the criteria previously defined.

          (*) The prior consent of the holder will be requested in cases where the event is recorded, either in sound or in the image, or if photographs are taken.

3. What are the deadlines for which we keep personal data?
LET'STALKGROUP will only keep your data for as long as necessary to fulfill the purposes set forth in this Policy or for such period as may be required by applicable legal or regulatory standards.

The deadlines for the preservation of personal data, according to each purpose of treatment, are as follows:
          Purpose of the treatment> Shelf life
          • Provision of Consulting Services, Training and Events > Duration of service contract, plus 20 years.
          • Communications and Submission of Information > Until the data owner expresses his / her opposition.
          • Event Management > Until the data owner manifests his opposition.
          • Protection of people and property > 30 days.
          • Compliance with legal obligations > 7 years, after the moment the customer identification was processed or, in the case of business relations, after the expiration of the same.
          • Invoicing and Accounting Management > 10 years.
          • Recruitment and Selection > 2 years, counted from the delivery of the application or curriculum, in case the candidate is not selected; and during the period in which the professional relationship with the LET'STALKGROUP is maintained, in all other cases.

4. To whom does the LET'STALKGROUP transmit personal data?
LET'STALKGROUP does not transmit your personal data to third parties, except in cases where this proves necessary for the performance of the services you have contracted or for the fulfillment of legal obligations to which the LET'STALKGROUP is subject.
The transmission of data to third parties is carried out in accordance with the applicable legislation on data protection and within the limits of the purposes and legal grounds defined in this Policy.

LET'STALKGROUP may share personal data with the following entities:
          • Parties relevant to the exercise of consultancy and training services, such as trainers, consultants or partners;
          • LET'STALKGROUP companies;
          • Public authorities in the scope of compliance with legal obligations;
          • Providers of services that provide services to LET'STALKGROUP for the purposes described above, such as IT providers, communications services, translation services, digital and physical archive services, reservation / catering others.

In cases where the transmission of personal data to the above entities involves an international transfer of personal data (i.e., outside the European Union), the LET'STALKGROUP:
          (i) carry out such a transfer on the basis of a Commission's compliance decision whereby the country or international organization concerned guarantees a level of protection of personal data equivalent to that resulting from European Union law; or,
          (ii) in the absence of a decision by the Commission, it will ensure that such data transfers are carried out in strict compliance with legal provisions and that adequate guarantees are in place to ensure the protection of personal data.

5. Are the personal data secure?
LET'STALKGROUP has a strictly technical and organizational security policy in order to protect personal data against destruction, loss, alteration, unauthorized disclosure or unauthorized access and any other form of processing unlawful or abusive.
The technical and organizational security measures created and implemented by LET'STALKGROUP are also required of LET'STALKGROUP service providers who can process personal data on their behalf.

6. What rights do you have as the holder of the data?
As the data subject, you have the following rights:
          • Right of access
          At any time, you can ask for confirmation as to whether LET'STALKGROUP treats your data, access to your personal data and treatment information.
You may also obtain a copy of the personal data subject to treatment.
          • Right to rectification
          If your personal data is incorrect or incomplete, you can request that it be rectified or completed.
          • Right to erasure
          In certain situations, you have the right to request the deletion of your personal data.
This right may be limited in certain situations, for example where the processing of the data is necessary for the fulfillment of legal obligations to which the LET'STALKGROUP is subject, or where such processing is necessary for the purposes of declaration, exercise or defense of a right to legal proceedings.
          • Right to limit treatment
          In certain situations, you can ask the LET'STALKGROUP to limit access to personal data or to suspend treatment activities. This will be the case, for example, in cases where you contest the accuracy of your personal data for a period of time which enables LET'STALKGROUP to verify its accuracy, or where you have objected to the treatment, until the legitimate interests of the LET'STALKGROUP or third party shall prevail over its own.
          • Right to data portability
          In cases where the processing of the data is based on a contract to which it is a party or on its consent, you may ask the LET'STALKGROUP to provide you with the data you have provided in a structured, current and automatic reading format. You may also ask the LET'STALKGROUP, as far as is technically possible, to transmit this data to other controllers.
          • Right of opposition
          Where the processing of the data is based on the legitimate interest of the LET'STALKGROUP or where it is performed for purposes other than those for which the data were collected but are compatible with them, it shall have the right to object to the treatment of the data. personal data, on grounds relating to their particular situation.
